Camera-Ready Submission Instructions

The process for uploading final manuscripts for accepted papers follows the same procedure as uploading your initial review manuscript using EasyChair platform. Important: Do not register a new paper.

Addressing Reviewer Comments

Please carefully review the reviewers’ comments, which are designed to help you improve your paper for final publication. All listed comments must be addressed, as acceptance is conditional upon appropriate responses to the requirements and comments provided.

Academic Integrity Requirements

SEEDA-CECNSM 2025 requires that submitted manuscripts represent solely the author’s original work and not the work of others, unless explicit permission has been granted. This requirement applies to text, figures, and tables. Note: The Organization Committee will be using the Crosscheck automated screening system to verify the originality of papers.

Citation Requirements

  • Information from published articles must always be cited explicitly
  • Proper citations should reference the original published work, not follow-up work or reviews
  • Citations should be placed close to the referenced information within sentences or at the end of sentences, not after multiple sentences or near paragraph endings
  • When citations are provided, exact copying of complete sentences or paragraphs must be indicated with quotation marks

Copyright Permissions

  • Reuse of any portion of a published figure or table requires copyright permission from the rights-holding publishers
  • All republished figures and tables must explicitly indicate their original source

Final Preparation

Before submission, thoroughly proofread and verify the layout of your paper. Please ensure that the paper title and the ordered list of authors in the PDF matches exactly the information entered in EasyChair. All papers submitted through the website are considered final and ready for publication. Do not submit until you are completely prepared. We recommend having colleagues review your paper and provide final feedback on its suitability before website submission.

Publication Information

Accepted papers will be published in the SEEDA-CECNSM 2025 Proceedings. Papers that are both accepted and presented will be submitted for publication in IEEE Xplore®. Note: Papers not presented at the conference will be removed from the website and IEEE Xplore.

Formatting Guidelines

General Requirements

  • Final camera-ready papers must be written in English
  • Update the existing manuscript that was previously submitted (do not create a new submission)
  • The author list for the camera-ready paper must be identical to the review version
  • Do not number the pages
  • Author biographies are not required

Technical Specifications

  • Papers must be displayable and printable using standard tools and PostScript printers; therefore, we strongly recommend using only standard fonts
  • Ensure papers print clearly on black-and-white printers (not color printers), particularly for plots and graphs
  • Maximum length: six (6) pages in double-column format with standard margins and minimum 10-point font
  • Use IEEE templates available at: http://www.ieee.org/conferences_events/conferences/publishing/templates.html
  • The page limit includes all content: figures, tables, references, appendices, etc.
  • Refer to the sample paper provided on the template page for guidance

IEEE Xplore Compliance

  • Papers must meet submission guidelines and be processed through the PDF eXpress site to produce an IEEE Xplore-compliant file.Important: The final camera-ready file from PDF eXpress must be uploaded to the EasyChair paper submission site.

Creating IEEE Xplore-Compatible PDF

Please use IEEE PDF eXpress to create and validate your final camera-ready version.

Critical Note: Any modifications made to a PDF after IEEE PDF eXpress conversion or PDF checking may invalidate Xplore compatibility. All updates must be incorporated into the document before PDF creation.

IEEE PDF eXpress is used exclusively for creating your final camera-ready version.

Pre-PDF Creation Checklist

  • Remove copyright notices, headers, and page numbers from your source document
  • Thoroughly proofread your source document to confirm no revisions will be required

Creating Your PDF eXpress Account

  1. Access the IEEE PDF eXpress site at: https://ieee-pdf-express.org/
  2. For new users: Click the “Create account” link
  3. Enter the following information:
  • Conference ID: 68644X
  • Your email address
  • Your password
  1. Continue entering information as prompted
  2. You will receive online confirmation and email verification of your account setup

Note for Previous Users: Follow the same steps above, but use the password from previous conferences. Verify that your contact information remains current.

Paper Validation Process

  1. For each conference paper, click “Create New Title”
  2. Enter identifying text for the paper (title recommended but not required)
  3. Click either “Submit PDF for Checking” or “Submit Source Files for Conversion”
  4. Specify platform and source file type (if applicable)
  5. Click “Browse,” navigate to your file, and click “Upload File”
  6. You will receive online and email confirmation of successful upload
  7. You will receive an email with your checked PDF or IEEE PDF eXpress-converted PDF attached
  8. If you submitted a PDF for checking, the email will indicate whether your file passed or failed

Upload to EasyChair Submission Site

Important: PDF eXpress is not a file collection website. The camera-ready submission site is the EasyChair platform.

Submission Process

  1. Log in to EasyChair
  2. If you have multiple roles, select “proceeding author” under the Author tab
  3. The next page will display information for your accepted paper or list of papers (if multiple)
  4. For multiple papers: Click the magnifying glass icon in the last column to access the paper’s information page
  5. On the paper’s information page:
  • Upload your camera-ready paper using “Upload new version” in the top-right menu
  • Update author information if necessary
  1. Copyright Agreement: One co-author must sign the IEEE Copyright Agreement by clicking the red “Sign Copyright Agreement” button and following the procedure

Final Requirement: The paper will be included in the conference proceedings only when both the camera-ready submission and IEEE Copyright Agreement signing are completed and at least one of the co-authors register to the conference as an author.
